Short answer: Use Fathom for anything said out loud on Zoom, Google Meet or Teams: buyer consults, listing prep calls, team meetings. Use Gemini Notebook (formerly NotebookLM) for anything written down: disclosures, HOA packets, inspection reports, market reports. Both have free plans, so most agents should start with both.

How to choose

  1. Lots of client calls on Zoom or Meet? Start with Fathom's free plan. You stop typing during consults and get a summary the moment the call ends.
  2. Drowning in disclosure packets and HOA documents? Start with Gemini Notebook. Add the documents to one notebook per property and ask it questions with citations back to the page.
  3. Want action items and follow-up drafts from calls? Fathom Premium ($20/mo, or $16/mo annual) adds AI action items and advanced summaries.
  4. Running a team? Fathom Team ($19 per user per month, $15 annual, 2-user minimum) adds shared playlists and team search; Business adds CRM field sync.
  5. Want client-education content? Gemini Notebook's Audio Overviews turn a market report into a short podcast-style explainer you can listen to before a listing appointment.

A workflow that uses both

  1. Before the call: add the property's disclosures and HOA documents to a Gemini Notebook and ask for the five items a buyer is most likely to ask about.
  2. On the call: tell your client you use an AI notetaker and get their OK, then let Fathom capture the conversation.
  3. After the call: paste the Fathom summary into ChatGPT or Claude with the prompt below to get your recap email, CRM note and next steps.
From this Fathom call summary [paste], write the client recap email, CRM note, and my 3 to-dos with due dates.

For the document side, this prompt works well in Gemini Notebook once the disclosure or HOA packet is added as a source:

Summarize this HOA/disclosure document for my buyer in plain English: key costs, restrictions, pending litigation or assessments, and questions to ask. Note: I'll review it; this is not legal advice.

Keep sensitive client data (Social Security numbers, bank details, full loan documents) out of AI tools; see our AI client privacy guide. AI can misread or invent details, so confirm everything against the source. This is general information, not legal advice.

FAQ

Is Fathom free for real estate agents?

Yes. Fathom’s free plan includes unlimited recordings and transcriptions plus instant AI call summaries for Zoom, Google Meet and Microsoft Teams. Premium ($20 a month, or $16 a month billed annually) adds advanced summaries, AI-generated action items and the conversational meeting assistant.

What happened to NotebookLM?

Google renamed NotebookLM to Gemini Notebook in July 2026. It still works the same way: you add your own sources and it answers from those sources with citations, and can turn them into briefs and podcast-style Audio Overviews. The free tier is available to anyone with a Google account; Google AI plans raise the limits.

Should I use Fathom or Gemini Notebook?

They do different jobs. Use Fathom to capture and summarize live calls (buyer consults, listing prep calls, team meetings). Use Gemini Notebook to study documents you already have (disclosures, HOA packets, inspection reports, market reports). Many agents use both: Fathom for the conversation, Gemini Notebook for the paperwork.

Is it legal to record client calls with an AI notetaker in California?

California generally requires consent from everyone on a confidential call before it is recorded. Tell clients at the start that you use an AI notetaker and get their OK, and follow your brokerage’s recording policy. This is general information, not legal advice.

Can Gemini Notebook replace reading the disclosures myself?

No. Use it to find and summarize items faster and to draft plain-English explanations, then confirm every point in the original document. Point buyers to the source and to the appropriate professionals (inspector, attorney, HOA) for anything material.
